When to use it (trigger points)

  • Day one (set-up): create the folder structure, print the checklist, add project details, and agree “who supplies what” with each trade.
  • Before each stage starts: check what evidence is due and confirm hold points (especially for hidden works).
  • Every week: 10–15 minutes to file, tick off, and chase missing items.
  • Before covering up: stop and confirm photos + inspection notes + product evidence are saved.
  • Two to four weeks before completion: run a “gap check” and start collecting final certificates and as-builts early.
  • Handover: final tidy-up and issue the pack to the client (retain your copy).

Before you start (what you need ready)

  • Project basics: site address, client details, key dutyholders/contacts, and Building Control route/details.
  • Current design set: latest drawings/spec, structural details/calcs (where relevant), and key compliance details (fire stopping approach, insulation line, ventilation strategy).
  • Competence info for key trades: registration/certification where required (e.g., electrical, gas) and any specialist areas (e.g., fire stopping) as agreed on the job.
  • Trade evidence plan: each subcontract package: what evidence they will provide and when (don’t leave this vague).
  • Simple photo plan: what you’ll photograph at each stage and where you’ll store it.

Site rule: if it will be hidden later (concrete, backfill, plasterboard, screed, ceilings, cladding), collect the evidence before you close it up.

How to complete it (step-by-step)

Step 1 — Set up the folders and naming (15 minutes)

  • Create the folder structure shown in the resource and use it consistently (one place for everything).
  • Use a simple file naming style, for example:
    YYYY-MM-DD_Project_Area_Document_Rev
  • Move old drawing revisions into an Archive subfolder. Don’t delete them.

Step 2 — Fill in the project front sheet

  • Complete contacts and roles so anyone can see who is responsible and who to call.
  • Add the Building Control reference as soon as you have it.

Step 3 — Brief subcontractors at order stage (this prevents 90% of chasing)

  • Use the “Subcontractor evidence request” section as your order-stage brief.
  • Be clear on due stage (e.g., “before ceilings,” “at commissioning,” “before handover”).
  • Ask for evidence in a usable format: legible PDFs, certificates with address/job reference, photos labelled by location.
  • For compliance-critical work, confirm who is supervising and who signs the certs.

Step 4 — Run the checklist through each stage

  1. Before start: file approvals/notice, latest design set, dutyholder/competence info, and the inspection/hold-point plan.
  2. Groundworks/drains: save inspection records and photos before pour/backfill. Keep any test results and an as-laid record.
  3. Structure/shell: capture bearings, connections, cavity barriers/fire breaks, roof details—photos with brief location notes.
  4. First fix/hidden works: record insulation, air tightness details, fire stopping, service penetrations, ventilation duct routes—then file product documents for what you installed.
  5. Second fix/completion: collect test/commissioning sheets and certificates as each system is completed (don’t accept “to follow” as finished).

Step 5 — Control changes properly (simple but non-negotiable)

  • When something changes (product swap, detail change, moved duct/terminal, altered structure), log it immediately in the changes/substitutions section.
  • Record: what changed, why, who agreed, and what drawing/detail is affected.
  • If it affects compliance, get agreement before installation wherever possible (designer/engineer/Building Control as appropriate).

Step 6 — Do a “gap check” before handover (30–60 minutes)

  • Work down the master checklist: mark done/missing and assign an owner and a date to chase.
  • Confirm as-built drawings/mark-ups are prepared and filed.
  • Confirm final Building Control completion/acceptance evidence is received and filed (or inspections booked and tracked).
  • Issue the handover pack to the client and record the date issued.

Review and sign-off (what “checked” means)

  • Weekly check (site manager/foreperson): new evidence filed, checklist updated, upcoming hold points planned, and any missing certs chased.
  • Stage reviews (PC lead/owner): at end of groundworks, before closing up first fix, and pre-completion. Focus on structure, fire stopping, insulation/thermal line, ventilation, and test/commissioning evidence.
  • Escalate early if: you can’t evidence hidden works, there’s a compliance-critical substitution, Building Control queries an element, or a subcontractor won’t provide certificates/commissioning sheets.

Recordkeeping (storage, version control, retention)

  • One “source of truth”: keep evidence in one project folder using the resource’s folder index.
  • Printed + digital: keep a printed copy on site for quick ticking/notes, but make the digital folder the master record. Scan/photograph updated pages regularly.
  • Version control: latest drawings in the main design folder; superseded revisions in Archive. Never overwrite without changing name/revision.
  • Photos: upload weekly (minimum). Use date + area + short description so they still make sense later.
  • Retention: keep the full pack for the period required by your contract and insurer, and any statutory expectations for the job type. Apply one consistent company rule.

How often to update it

  • Minimum: weekly.
  • Immediately after: Building Control visits, hold-point checks, delivery/installation of regulated products, completion of any tested system, and any design/product change.
  • Final week: update daily so handover doesn’t stall on missing paperwork.

Common mistakes (and how to avoid them)

  • Leaving evidence until the end. Fix: schedule a weekly admin slot and treat it as part of the build.
  • Covering up without proof. Fix: hold points—no board/screed/backfill until photos + checks are saved.
  • Unlabelled photos. Fix: one wide shot + one close-up + a location note (plot/room/elevation).
  • Substitutions not recorded or not agreed. Fix: log it before ordering/installation and capture who approved.
  • Missing subcontractor certificates. Fix: set expectations at order stage and link completion/payment to receiving the right evidence.
  • Old drawing versions in circulation. Fix: issue a “current set” and remove/mark old copies; archive digital superseded versions.
  • Evidence scattered across devices. Fix: one folder, clear structure, named files, and weekly upload from phones.

Worked example (realistic site scenario)

Job: small extension with structural steel, upgraded insulation, new ventilation, and full electrical work.

  1. Week 1: set up folders + print checklist. File Building Control notice/approval and latest drawings/spec. Record roles/contacts.
  2. Groundworks: before pour/backfill, take photos of formation and drain runs; save inspection notes and any drain test evidence.
  3. Steel install: photograph bearings/connections; file engineer details; log any on-site changes with who agreed.
