When to use it (workflow triggers)
- Day 1 / first time on site: before the person starts work (or before they enter work areas).
- Return after a break: if they’ve been away and the site has changed significantly (layout, access routes, new phase).
- When conditions change: new work areas, new plant, new traffic routes, new hazards (e.g., excavation opened), change to emergency routes, change to PPE rules.
- After an incident/near miss: if learning points mean rules/controls change, re-brief affected people and record the change.
Tip: Don’t wait for the weekly briefing if today’s change creates a new risk. Do a quick re-induction for those affected and record it in the “changes/notes” section.
Before you start (what you need ready)
- Site basics: site address, postcode/what3words (if used), supervisor contact details.
- Emergency info: alarm method, assembly point, first aider(s), first aid kit location, fire points, nearest A&E route info.
- Site layout info: current site plan or a clear understanding of work zones, restricted areas, and pedestrian routes.
- Traffic management: delivery procedure, vehicle routes, reversing rules, banksman arrangements, parking.
- Task controls: the RAMS/SWMS/method statement for the person’s work (and any permits if you use them, e.g., hot works).
- PPE rules: what’s mandatory on this site and what’s task-specific (RPE, hearing protection, harness, etc.).
- Reporting route: who to report to, where the accident book is, and how to report a near miss fast.
Privacy reminder: keep personal data to the minimum needed for safety management. Don’t record medical conditions on this induction form—handle health info separately and confidentially.
How to complete it (step-by-step)

Start with the basics at the gate/welfare: confirm who they are, who they work for, what they’re doing, and where they’ll be working.
- Use the “person being inducted” section to capture only what you need to manage them safely on site.
- If there are language/communication needs, deal with them now (translator, buddy system, simple diagrams, repeat-back questions).

Give a quick site overview (2–3 minutes): who’s in charge, sign-in/out, work zones, restricted areas, neighbour/public controls.
- Make it specific: “you are working in the rear extension only; do not enter the loft area unless told.”

Walk the route and show key points: don’t just point at a board—physically show escape routes, assembly point, first aid kit, welfare, and pedestrian routes.
- If parts of the site are not accessible yet, explain clearly what is out of bounds and how it’s controlled (barriers, signage, locks).

- Site rules: housekeeping, stop-work authority, authorisation for equipment, no tampering, smoking rules, dust/noise controls.
- Emergency arrangements: alarm, assembly point, escape routes, first aiders, accident reporting.

- Traffic management: delivery process, pedestrian routes, reversing controls, plant zones, parking.

- PPE: confirm what’s mandatory and what’s task-specific (and where RPE/face-fit applies).
- Reporting: how to report hazards/near misses, defects/damage, and what to do if asbestos is suspected (stop, keep away, tell supervisor).
Rule of thumb: if you can’t explain it in plain words, it’s not “covered”. Ask them to repeat back the key bits (alarm, assembly point, stop-work, reporting).

Do the sign-off properly (proof of understanding):
- The person signs and dates to confirm they understand and will follow the rules.
- The inductor signs and dates to confirm the induction was delivered and understanding checked.
- If someone refuses to sign or seems not to understand, do not start them on work—escalate to the site manager/company owner.

- Minimum sign-off: the inducted person and the inductor (supervisor/manager).
- Supervisor check: for higher-risk trades/activities (roofing, steelwork, demo, hot works, lifting operations), the site manager should spot-check that controls in RAMS match what was inducted.

- they don’t have the right competence/tickets for the kit they plan to use,
- they can’t explain emergency arrangements back to you,
- they intend to work outside agreed areas or bypass controls,
- site conditions have changed and the plan/RAMS is no longer valid.

- there’s a near miss/incident and controls are strengthened.
- Routine check: as a simple habit, glance through the induction pack weekly to make sure it still matches reality on the ground.
