This page outlines the procedures you should have in place when undertaking contractor duties on a construction project.

Planning, managing and monitoring construction work

On appointment as a contractor for the project in writing by the Principal Contractor (via email), the contracts manager will confirm the availability of the required resources for the project including:

  • A suitably qualified site supervisor
  • Personnel with the appropriate level of training and expertise to carry out the work defined in the tender documents / specification
  • Tools and equipment that are suitable for the task
  • Sub-contractor requirements, including LOSC / agency staff, and sub-contracted companies for project items where the company does not possess the relevant expertise
  • Materials
  • Scheduling within the workshop to allow pre-fabrication of components

If the project is deemed as high importance/urgent, the contracts manager will reallocate resources as required to fit the appropriate timescales.

Based on this, the contracts manager will be able to provide a timescale for completion of the work.

As part of the planning process, the relevant Risk Assessments, Method Statements and COSHH assessments will be produced by the Contracts Manager/H&S Manager.

The Contracts Manager/H&S Manager will provide the following items to the Principal Contractor before attending site (if requested):

  • Risk assessments
  • Method statements
  • COSHH assessments
  • Plant and equipment inspection / test records
  • Operatives qualifications and training

Work will be managed primarily by the on-site supervisor, with assistance from the Contracts Manager. This will include:

  • Allocation of operatives, plant, equipment and materials to specific tasks
  • Ensuring appropriate resources are available to carry out the work safely
  • Reacting to issues and changes in specification
  • Investigation of near miss / incidents.
  • Ensuring consultation with workers through regular meetings and toolbox talks.

Work will be monitored:

  • Continually by peer-to-peer observation and reporting
  • Continually by the on-site supervisor
  • Regular visits by the contracts manager
  • Occasional visits by the management team and external advisers.

Monitoring will be recorded using Form GA15

Coordinating activities with others

The on-site supervisor and where required, the contracts manager, will attend any meetings where the principal contractor requests them to attend.  The attendees will take notes and these will be sent to the office via email.  Any information gathered will be passed on to operatives immediately following the meeting.

The on-site supervisor will ensure that they are aware of their point of contact with the principal contractor on site and immediately report any issues or concerns to them.
